You will be responsible to provide high-level administrative support to the VP Corporate Development, VP HR and General Counsel in achieving their objectives and responsibilities as well as ad-hoc support to their respective teams. 

 

Reporting directly to the VP Corporate Development, the Executive Assistant also serves as a liaison to the board of director as instructed by the VP Corporate Development and wider senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees corporate projects whilst also organizing special event for the company as required. 

 

The Executive Assistant must be creative and enjoy working within a fast-paced, transforming environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities

 

Your key responsibilities will be:

  • Ensure that all commitments and responsibilities of the VP Corporate Development, VP HR and General Counsel are met effectively and on time 
  • Management of corporate projects relating to execution of the corporate strategy (i.e M&A activity) 
  • Ability to be proactive and work with a high degree of accuracy.
  • Co-ordinate external activities/meetings liaising with CVC, Board and customers as required 
  • Organise Corporate Development meetings, HR and Legal meetings 
  • Organise travel and accommodation for Directors and visitors, arranging visas, transfers and itineraries when required 
  • Organise special events including planning, budgeting and sourcing of providers and venues 
  • Set up accounts, review and maintain business relationships with travel agent, taxi company and local hotels 
  • Proactive, complex diary management and forward planning across multiple time zones and international markets
  • Email/telephone management, referring/delegating/responding on behalf of Directors 
  • Arrange internal/external business meetings/events, prioritizing what is important and urgent; prepare agenda; book room facilities; arrange catering; take minutes/actions 
  • Support the General Counsel by managing the Agreements Database 
  • Ensure timely preparation and submission of expense claims for VP Corporate Development, VP HR and General Cousel, tracking invoices for card statements; reviewing team expenses and highlighting any out of policy spend 
  • General administration – to include drafting correspondence, reports, agenda, letters, presentations and proposals; dealing with incoming and outgoing post; internal communications 
  • Any other duties that may reasonably be required of a high-level Executive Assistant 
  • Work with the other EA’s to cover duties for annual leave and absence 
  • Manage the processing of invoices and purchase orders

Qualifications: 

Essential 

  • Demonstrable experience of supporting senior-level executives, preferably in an international environment, handling confidential and sensitive information with the utmost discretion 
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) 
  • Ability to communicate effectively and professionally 
  • Demonstrates excellent time management capabilities and ability to manage multiple calendars 
  • Highly organised and a great communicator 
  • Must be confidential and a team player 

 

Desirable

  • Bachelor’s degree is desirable 
  • Experience of working in PE, Banking, Medical/Pharma , professional services desirable
