The Purchasing Assistant will ensure smooth, efficient, and cost-effective procurement of materials, supplies, and services. This role is crucial in maintaining strong vendor relationships, accurate records, and timely deliveries.
The Purchasing Assistant will be responsible for assisting in daily operations, order placements, and follow-ups.
This is a part-time role of 25 hours p/week, based at our state-of-the-art Worthing HQ. Please note, this is a fixed-term position until May 2027.
Key Responsibilities include:
- Create, issue, and track purchase orders for raw materials, components and consumables.
- Verify pricing, lead times, and order accuracy.
- Maintain and organise purchase records, vendor contracts, and documentation. Enter data accurately into the purchasing system and assist in report preparation.
- Monitor open orders and follow up with suppliers to ensure on‑time delivery.
- Liaise with approved suppliers to resolve delivery issues, discrepancies, or quality concerns.
- Maintain and control ERP system and spreadsheet data.
- Monitor stock levels and flag shortages or potential supply risks.
- Coordinate with production and stores teams to ensure stock availability.
- Coordinate with suppliers for correct specification, artworks, revision details.
- Support invoice matching and resolve discrepancies with finance.
- Support material planning and control activities
Skills & Experience Required:
- Experience: Previous experience in procurement, supply chain, or a similar role is preferred.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with procurement software or ERP systems.
- Communication: Strong written and verbal communication skills with the ability to effectively interact with suppliers and internal teams.
- Attention to Detail: Ability to manage multiple tasks, prioritise work, and maintain accuracy in data entry and documentation.
- Negotiation Skills: Basic understanding of negotiation strategies to secure favorable pricing and terms from suppliers.
- Problem-Solving: Proactive in identifying issues and working to resolve them efficiently.
