Purpose of the Role

The Office Administrator will be the primary point of contact for our Memphis, TN Office. The role will manage the day to day operations of the office ensuring guests are greeted, phones are managed and supplies ordered. This role will support the US Leadership team with administrative support. This is a Part time position and the work will be in the office. 

 

  • Answer incoming calls and route to the appropriate team member or department
  • Manage the reception desk while greeting guests and vendors
  • Prepare, collect and manage incoming and outgoing mail and packages
  • Manage office supply inventory
  • Maintain conference rooms and break areas. Ensure these rooms are stocked with appropriate supplies for meetings
  • Manage catering orders for meetings and events
  • Maintain vendor relationships such as maintenance crew, shred, coffee, water, etc
  • Serve as administrative support for the US leadership team. Make travel arrangements, schedule meetings, assist with expense reports, etc
  • Contact for landlord regarding maintenance requests, etc
  • Coordinate and ship items to field team and business support employees
  • Other duties as assigned by the leadership team, marketing, information technology, finance or human resources teams

Qualifications:

 

Essential

Desirable

  • 1 to 3 years experience as an Office Administrator or Manager
  • Demonstrates proficiency working in a matrix environment and supporting related cross functional programs
  • Experience working with a sales team
